What the solution looks like
Illustrative screens · fictional data
Tickets. A list of tickets with first response and resolution deadlines. At the top — an AI agent’s message about overdue tickets. Illustrative screen; fictional data.
How it works
The agent receives enquiries and creates tickets
“Hello. Please tell me which company you are from and which computer’s scanner is not working, and I will create a ticket straight away.”
Clients write by email or in a shared WhatsApp and Telegram channel. The agent checks the directory to identify the sender’s company, asks simple clarifying questions and creates a ticket with a clear description. If an email comes from an unknown address, the agent first finds out who is writing.
Answers about ticket status
“How is my printer ticket going?”
The agent answers using ticket data. If information is missing, it asks the engineer and relays their answer to the client.
The engineer dictates — the agent writes to the client
“Finished in accounting: replaced the cartridge and cleared the print queue. Let the client know.”
The engineer reports the result by voice in Telegram or WhatsApp. The agent writes a short reply for the client under rules we define during setup, and closes the ticket with the engineer’s comment.
Monitoring and reports without manual checks
The agent tracks deadlines and reminds engineers about open tasks. At the end of the day, it checks that completed tickets are closed and open ones have comments, then tells the service manager what was missed and by whom. We display analytics — workload, ticket hours, employee efficiency, bonus calculations — in a separate console in real time if the required data is in the system.
Frequently asked questions
What happens to our current system?
We configure the new system on your server around how you work now: categories, clients, deadlines, rules. We decide together what ticket history to transfer.
Where is data stored?
The system and tickets are on your server, with access through your secure connections. The AI service connects using your account.
Could the agent give a client the wrong answer?
We define its action boundaries during setup: what it answers independently and what requires the engineer first. The agent closes a ticket on the engineer’s instruction, not on its own decision.
Which AI is needed?
Whichever you connect through an API: ChatGPT, Claude or another. The choice affects answer quality. Ticket coordination usually costs €20–100 a month.
Does it work on a phone?
Yes. The system opens in a browser on computer and phone, and engineers can work with the agent through WhatsApp and Telegram.
Detailed contents and terms
What it costs per month
Good helpdesk systems cost a company $4,000–5,000 a year, often more. Here, there are no licences: you pay for your server, usually around €30 a month, and the AI service — €20–100 a month under a normal workload.
Our experience
We have been implementing and configuring helpdesk systems for 15 years. We use proven solutions in setup: categories, deadlines, reply rules, reports. The AI agent receives the same rules.
What we need from you
A server for the system (we will help choose one), administrator access to your current ticket system, a client and employee list, a WhatsApp number and Telegram account for the shared channel, and an AI service account.
What the solution includes
- Open-source helpdesk system on your server: a web app for computer and phone.
- AI agent: receiving enquiries from email, WhatsApp and Telegram, creating tickets and replying to clients.
- Checking clients against the company directory and asking clarifying questions before creating a ticket.
- Deadline monitoring, engineer reminders and checking ticket closure by the end of the day.
- Reports for the support manager.
- Analytics in a separate console based on your description.
- Connection to your AI service and team training.
Who it is for
- IT service companies and support teams paying for expensive helpdesk systems.
- Support managers spending hours checking tickets and reports.
- Companies that need ticket data stored on their own server.
How implementation works
- Reviewing the current system. You provide administrator access to your current ticket system. We look at how tickets, clients and deadlines are organised.
- Installing the system on your server. We configure a free helpdesk system using our implementation experience. Connections use your secure connections.
- Connecting the AI agent and channels. Email, a shared WhatsApp and Telegram channel, the client and employee directory, your AI service.
- Training the team. For engineers — working with the agent by voice and in chat; for the manager — reading reports and managing the system through AI.
All implementation terms
Implementation cost depends on the number of clients and engineers and what needs transferring from the current system, so we quote it after a conversation. Monthly — only your server (usually around €30) and the AI service (€20–100). No licences or user fees.
