Orders, stock, projects and money in one system instead of a dozen spreadsheets.

Bringing everything into one system does not always mean implementing a new one: connecting your programs or replacing one of them can be enough. If a new system is needed, we select Odoo, ERPNext or Notion, or build a system for you. Either way, we plan in advance how AI will work with your data. With AI, implementation has become tens of times cheaper and faster: a year’s work and dozens of developers are no longer needed.

Orders, stock, projects and money in one system instead of a dozen spreadsheets.

How we work

  1. 1

We review processes and data and propose a solution — more details below.

  2. 2

You approve the first phase: what we implement first, the timing and the budget.

  3. 3

We implement in short steps: your key employees check each step. We connect the accounting software and other applications if they are staying.

  4. 4

We train the team and put the system into use.

How we choose a solution

  1. 1

    Processes and data.

We describe your processes and data — each business has its own: orders and stock, patients, projects, files. We see whether they are scattered or brought together.

  2. 2

Where time and money are lost.

How many programs people open for a single task, what they copy into Excel and what important information is not recorded anywhere.

  3. 3

Whether data is accessible to AI.

We check whether AI can get data from your programs and write results back. If the system does not allow this, we find out whether it can be connected to AI or needs replacing.

  4. 4

Whether the system has a future.

We look at whether the system is developing and ready to work with AI. Even today’s market leader could start holding your company back in a few years. If we see this risk, we propose a transition plan in advance.

What we propose — from smaller changes to larger ones

  1. Keep things as they are

If data is already brought together and the system works well.

  2. Connect what you have

So data moves between programs automatically, without manual copying.

  3. Update one part

Replace only the weak link, keeping what works well.

  4. Move to a new system

A simple one like Notion, a specialised one like Odoo, or one built for you.

We do not sell a system for its own sake. We propose what benefits the business: we calculate costs over 3–5 years and check whether work will become easier for people. If it becomes harder, nobody will use the system.

One system does not necessarily mean one program. It can be two or three connected programs — for example, file storage and a business system. What matters is that data moves between them without manual copying.

What you get

Software and data brought together in a clear working system.

Employees spend less time searching for information and copying it manually. AI assistants can be connected to the system, and new capabilities gradually added as the company develops.

Examples from our work

Construction holding companyseveral companies and complex construction projects were managed in Excel. We brought companies, projects, tasks and money together in one system in Notion.Learn moreShow less

Problem.
Six companies in the structure, covering the full cycle from design to construction. Budgets, schedules, client advances and project profits lived in spreadsheets and in the manager’s head. Nobody monitored unfinished projects and unissued invoices.
Solution.
We brought companies, projects, tasks and finances together in one system in Notion. Financial documents are linked to projects. Each project manager has their own workspace, while management sees the overall picture across all companies. For a team of 4–5 key employees, we chose a simple solution that can be learned quickly. We provided training and wrote instructions.
Outcome.
Costs, income and profit are visible for each project straight away — rather than at the end of the year. Management can see profitable and troubled projects from a computer or phone.
Manufacturing company, around 30 peoplestarting production depended on manual work and spreadsheets. We moved orders, manufacturing, stock and logistics into one system, while accounting stayed in the familiar software.Learn moreShow less

Problem.
Starting production depended on manual checks and spreadsheets. Employees checked component availability, created internal orders and marked work stages. Yet it was difficult to tell who had completed an operation and when, and product testing history was lost.
Solution.
We reviewed ten real working situations — from an order cancelled after assembly had begun to a shortage of parts in stock. We chose a shared system for orders, manufacturing, stock and logistics. We decided to keep the accounts in the familiar software. The documented processes will form the basis for connecting AI assistants.
Outcome.
In the chosen model, the entire order journey — from enquiry to dispatch — is brought together in one place. Every operation has a responsible person and a history of completion. The manager can more easily see where work has stopped and what needs doing next.
Manufacturing and tradingbefore moving to Odoo, we gathered 93 requirements and built a test environment, then split implementation into phases.Learn moreShow less
Problem.
The company wanted to replace its old business system with one system for purchasing, sales, manufacturing, stock and finance, but it was impossible to price this transition as a single figure.
Solution.
We conducted interviews, gathered 93 requirements and prepared a test environment. We divided implementation into stages: for each, we defined the outcome and price so the client knew in advance what they were paying for. We did not migrate the entire historical transaction record. We prepared two environments on our server — one for checking changes and one for everyday work.
Outcome.
A clear transition plan in phases, each with a price, and a working Odoo environment on our server with a monthly fee.

Frequently asked questions

Do we have to replace our system?

No. If the system does its job well, we keep it. If connecting AI to it is difficult, we first check whether data exchange can be arranged. We propose a replacement when it is genuinely needed and plan ahead so the transition is not rushed.

How much will a new system cost?

We select the least expensive option for your task. Free versions of open-source systems are often suitable — without fees for the software or each employee. We calculate all costs in advance: implementation, server, maintenance and paid add-ons, if needed.

We are used to our Excel spreadsheets and reports. Will they disappear?

We will try to keep familiar reports and working routines so employees can settle in more easily. We first use the new system’s existing capabilities. If a report you need requires development, we discuss it and agree the cost in advance.

What if our process does not fit the system’s standard approach?

We first check whether the task can be solved with the system’s existing capabilities or configuration. If a process important to you needs development, we agree the scope and price separately. Thanks to AI, such changes now cost considerably less than before.

Who needs to take part on our side?

Employees and managers who know their part of the work well and can make decisions about it. They explain how things work, check that we have understood correctly and try the new system on their own tasks.
